Privacy at Keel Agents
Effective date: September 9, 2026
Updated to cover workflow assessments and done-with-you concierge. Service-specific processing and retention arrangements are agreed before confidential information is shared.
Keel Agents is run by Smart Dad Travel LLC, doing business as Keel Agents, a Pennsylvania company. We work with businesses only. We do not sell anything to consumers, and we do not sell personal information to anyone.
This page says what we actually collect, where it goes, and what we do with it. It reads in about three minutes.
The short version
We collect a small amount of information: what you type into our booking form, what our scheduling and payment vendors handle for us, and basic traffic counts. We use it to run the business. We do not sell it, we do not run ad trackers, and we honor opt-outs.
What we collect, and where
When you book a discovery call. Booking runs through Cal.com. It collects your name, email, and answers to five short intake questions about your business. If the embedded calendar is unavailable, a fallback form on our site collects your name, company, email, a time slot, and an optional note about what is going wrong in your workflow. That form sends one email to us. We do not keep a database of bookings; the record is the email.
The client desk (hub) page. If you register on our hub page, everything you enter (login, files, messages) is stored in your own browser, on your own device. It does not reach our servers. We cannot see it. Clearing your browser data deletes it.
When you pay us. Payments run through Stripe. Stripe collects your name, email, billing address, tax ID if you enter one, and your card or bank details. We never see card numbers. We see who paid and how much.
Website visits. The site is hosted on Vercel, which keeps standard server logs (things like IP addresses and pages requested). We count page views ourselves with a small first-party beacon. It records the page viewed and the hour, and nothing else: no cookies, no IP address, no device details. It cannot identify you and it does not follow you anywhere. The site also loads fonts from Google Fonts, which means your browser makes a request to Google when the page loads.
If we reach out to you first. We send letters and emails to people at insurance agencies and other businesses. Those contact details (name, role, business address, business email) come from public sources like company websites and directories. Every email tells you how to opt out. Ask us to stop and we stop, and we keep you on a do-not-contact list so it stays stopped.
If you become a client. We would handle the business information you share with us for an assessment, concierge work or an existing agreed service: written processes, sample emails, workflow documents. We ask you not to send us protected health information, and we do not accept it. That is a hard rule, not fine print.
How we use it
To respond when you contact us, to run discovery calls, to bill for our services, to do the work clients hire us for, and to see roughly how many people visit the site. That is the list.
Who we share it with
We share information only with the vendors we need to operate, for the purposes above:
- Hosting: Vercel
- Scheduling: Cal.com
- Payments: Stripe (Stripe holds the card data, not us)
- Email: AgentMail and Google
- Analytics: none. Page counting is done by us, on our own infrastructure, with no third party involved
- AI model providers: we use large language models from providers such as Anthropic and xAI to operate our service. Information you share with us, including prospect and client business information, may be processed by these providers on our behalf.
We do not use your information to train our own AI models. We share with no one else, except if the law requires it or the company is ever sold, in which case this policy would go with the data.
What we do not do
We do not sell personal information. We do not run advertising trackers. We do not handle protected health information. We do not share opt-out lists with anyone.
How long we keep it
Booking and correspondence emails stay in our mailbox as business records. Outreach contact details are kept until you opt out or we retire the list. Billing records are kept as long as tax law requires. For assessment and concierge work, retention and deletion arrangements must be specified in the service agreement after checking the actual systems and providers involved. This policy does not replace retention or deletion obligations in an existing agreement.
Security
Payment details are handled by Stripe, not stored by us. API keys live in server-side configuration, not in the browser. Hub data stays on your device. We keep the amount of personal information we hold small on purpose, because the best way to protect data is to not collect it.
Your choices
Email us and we will tell you what we have about you, correct it, or delete it, unless tax or legal records require us to keep it. We answer these requests for everyone, not just people in states whose laws require it. To stop hearing from us, reply to any email or write to john@keelagents.com.
Children
Our services are for businesses. We do not knowingly collect information from anyone under 18.
Changes
If this policy changes, we will update this page and the effective date. If a change matters, we will say so plainly at the top.
